Year summary report

Understand how the Year Summary report works in RMS, including pickup, Budget, OTB, STLY, Pace, and Ly Actual columns to track performance across the full year.

The Year Summary report gives you more than a single pace check, it's a month-by-month view across the whole year. Because every month sits side by side against Budget, same time last year (STLY), and last year's actual result, you can spot not just how you're doing today, but whether a pattern is building across several months that needs correcting before it compounds.

Report filters

Two filters control what the report shows.

  • Year: which year's bookings you're reviewing (current or closed).

  • Date range: the window you're measuring sales activity against. This also defines Pickup: the bookings made (created) within that date range, split by the month the guest is staying.


Column definitions

Each column in the report gives you a different layer of context for the same month.

Column

What it shows

Budget

The revenue target for that month. This column only has data if a budget has been manually loaded into the system, it is a figure you enter, not something the system calculates.

On the books (OTB)

What is actually on the books right now.

Same time last year (STLY)

What was on the books at this same point last year, a fair, same-day pace comparison.

Pace

OTB minus STLY, shows whether you're running ahead of or behind last year's pace.

Last year actual (Ly Actual)

How that month last year actually closed. This is most meaningful for months that had not yet closed at this same point last year, that is, when STLY and Ly Actual differ.


Using the report as an early warning system

Used together, these columns turn a flat set of numbers into an early signal. A month tracking behind Pace and below Budget is a clear prompt to act, adjusting pricing, launching promotions, or pushing a channel, while there is still time to sell into it, rather than discovering the shortfall only once the month has closed.

📌 Note: Check the Year Summary report periodically, not just at month-end. The value is in spotting trends early enough to act on them.
