Block group management

Overview of the groups scheduled for specific dates. The RMS system displays the group blocks, as received from the Property Management System for each date, allowing users to see an overview of the groups scheduled for specific dates.

Block groups

The RMS system displays the group blocks, as received from the Property Management System or CRS, for each date, allowing users to see an overview of the groups scheduled for specific dates. In the Action column, users can access further details related to each group or view all the associated confirmed reservations.

Users have the option to sort each column by clicking on the arrows next to the column header. Additionally, the screen can be filtered using the button located in the upper right-hand corner. This enables users to narrow down the displayed information based on specific criteria or preferences to understand their business on the books.

Prerequisites

The below outlines what you need to have activated before you can view block groups:

  • Access to Management section.

  • Group blocks created in your Property Management System.

  • Active connection between Property Management System and RMS.

View group block details

To view group blocks follow the steps below:

  1. On the left navigation, under the header Management click Block groups.

  2. The listing of groups will display.

  3. To narrow down results click Filter and enter one of the options outlined below:

    1. PMS ID (Property Management System ID) in the field provided.

    2. Code enter the text required.

    3. Enter a start date, click From and enter the date on the calendar. Click To and enter the date on the calendar.

  4. Click Filter to search or click Close to return to the previous screen.

  5. On the block groups screen under the header Actions, click the eye icon to view the full details of a specific block as listed below:

    1. PMS ID

    2. Code

    3. Name

    4. Status

    5. Start date

    6. End date

    7. S. Before (shoulder)

    8. S. After (shoulder)

    9. Rate Code

    10. Attendee code

    11. Cut off date

    12. Create time

    13. Begin sell date

    14. Picked Up

    15. Blocked

    16. Totals

  6. To view the reservations associated with the group click the bullet point icon to view the list of reservations associated with a specific block. The information provided is listed below:

    1. Code, which is the reservation confirmation number.

    2. Booking date.

    3. Status.

  7. Under the header actions click X to remove a reservation record.

  8. Click the eye icon to view the full details of one specific reservation. The booking details listed include:

    1. Info

      1. Code

      2. Confirmation ID

      3. Status

      4. Booking date

      5. Cancellation date

      6. Day use booking

      7. Room count

      8. Source currency

      9. Currency

      10. Source

      11. Channel

Below are frequently asked question to help you understand the budget management screen further:

Can I edit group block information?

No, you cannot edit group blocks directly in this system. Any changes must be made in your originating Property Management System, and the updates will then display here.

Why can I not see any group blocks?

Group blocks only display if they have been created in your PMS system and successfully transmitted to this system. If you have a group not appearing you should ensure:

  • Groups exist in your Property Management System

  • The connection between systems is working properly

  • You have the correct date range selected

What does as received from the Property Management System (PMS) mean?

This means the group block information comes directly from your Property Management System. The display here is read-only and reflects what your Property Management System has sent over.


Troubleshooting

Below are some of the top issues that can be troubleshooted by you:

Can't see group blocks?

Group blocks only display if they exist in your Property Management System and have been successfully transmitted to RMS. Check that groups exist in your Property Management System and the connection between systems is working properly.

Need to edit group information?

You can't edit group blocks directly in RMS. Make any changes in your originating Property Management System system, and the updates will display in RMS.

Missing group details?

The system shows information as provided by your Property Management System. If details are missing, verify the information is complete in your PMS system.
