View or manage out-of-order rooms
Below will outline how you will manage and view out-of-order rooms.
Managing out-of-order (OOO) rooms in your hotel's RMS helps you optimize revenue strategies, improve forecasting accuracy, and maintain operational efficiency.
Your rooms and room grouping setup is key for the system to forecast and set pricing. Room types are grouped together to ensure the system has the data required to perform forecasting of room sales with accuracy.
The Rooms Out-of-Order (OOO) section displays those sent by your PMS system automatically or they may be entered manually if required.
Add out-of-order rooms manually
The below steps will outline how to add out-of-order rooms:
On the left navigation under the header management, click Rooms OOO.
User the blue arrows to navigate to the correct month and year.
On the date the room is out of order click New on the calendar, this will open a new screen called Add Event.
Complete the required fields:
Enter the cause in the text box.
Choose start and end dates.
Select the room type from the dropdown menu.
Enter the room quantity.
Click Submit to save the changes.
View room types
The rooms section displays all the room types and how they are grouped together. Individual room types have limited inventory, so the system may not have enough data to accurately forecast demand. To ensure reliable forecasting and pricing optimization, room types with similar attributes or demand patterns should be grouped together.
As part of this setup, at onboarding a base room was selected within the group. This base room serves as the reference point for pricing calculations and forecasting. Only one group should be designated as the base, as it anchors the system’s pricing logic.
Follow the steps below to view your room types:
Under the header management on the left navigation, Click Rooms.
Here the user can see all the hotel rooms, the PMS or CRS code and the active status.
Click the eye
icon under the header actions to view more details on a specific room type:This will open a new screen with the room information, room beds, room comp set and room services details.
Changing room type groupings
The below will outline important information on changing room type groupings:
You can add rooms, modify groupings, or make other adjustments as needed over time. However, if you change the base room, it is important to review the strategy builder.
Any pricing strategies tied to the previous base room may be affected, so you should rebuild them based on the new room type configuration to maintain accurate pricing.
