Group rates in SHR RMS allow you to organise rate codes into named groups for use in forecasting segmentation and restriction management. Each group has its own permissions, assignment type, and associated rates. A default group, GR_UNKNOWN, is always present on every property and acts as a catch-all for unclassified rates.
Before you start
Review the following before working with group rates.
Group rates management requires Admin user access.
The default group GR_UNKNOWN is always present on every property and cannot be edited or deleted.
The type of restriction available to users when building strategies can be configured per property in the hotel card.
Access group rates management
Follow the steps below to access group rates management.
From the top navigation, click Settings.
Click Forecasting Seg., then click Group rates.
Rate groups listing
The Group rates screen lists all rate groups created for the property, including the default group GR_UNKNOWN.
The list displays the following information for each group.
Group: the name of the group.
Permissions: the roles for which the group is available.
Rates count: the number of rates assigned to the group. Not available for GR_UNKNOWN.
Actions: edit and delete options. Not available for GR_UNKNOWN.
The toolbar above the list includes the following controls.
Is template: when checked, marks the property as a template so its groups can be copied to other properties.
New: opens the form to create a new group.
Import from file: creates groups from a CSV file.
Import from template: copies groups from a property marked as a template.
Filter: filters the list by group name (partial match) or rate code (exact match).
Group templates
When a property is marked as a template, its groups can be copied to other properties using the Import from template feature.
Follow the steps below to import groups from a template property.
In the Group rates screen, click Import from template.
In the dialog that opens, select the source property from the Template property dropdown.
Click Import.
When the import completes, a results summary is displayed showing which groups were imported and which were skipped.
Import from file
Groups can be created by importing a CSV file containing group and rate code information.
Follow the steps below to import groups from a file.
In the Group rates screen, click Import from file.
In the dialog that opens, select a role from the Permissions dropdown. All groups created during the import will be assigned this permission.
To download an example file, click the download icon next to the Data file field.
Prepare your CSV file with one row per rate. The first column is the group name and the second column is the rate code.
Select your prepared file using the Data file field.
Click Import.
When the import completes, a results summary is displayed showing which lines were processed successfully and which were skipped due to errors.
đ Note: The CSV file must use comma-separated format with one row per rate. The first column is the group name and the second column is the rate code. All groups created will be assigned the permission selected in the Permissions field.
Create or edit a group
The group form is used to create a new group or edit an existing one. Click New to create a group, or click the edit icon in the Actions column to modify an existing group.
All fields are required. Configure the following fields.
Name: the name of the group.
Permissions: the access level for the group. Options are User, Admin User, or All.
Assignment Type: the method for adding rates to the group. Select from the following.
Manual: allows you to select individual rates from all available rates.
From Segment: allows you to add all rates belonging to a selected segment.
Rates (available when Assignment Type is set to Manual): select individual rates to assign to the group.
Segment (available when Assignment Type is set to From Segment): select a segment. All rates in the selected segment are added to the group automatically.
Rates: shows all rates currently assigned to the group. Rates can be removed from this list.
Configure group rates management
The restriction type available to users when building strategies can be configured at the property level. This setting controls whether users can apply restrictions using segments and rates, rate groups, or both.
Follow the steps below to configure the restriction type for a property.
Open the hotel card for the relevant property.
Scroll to the Restrictions section and click to expand it.
Locate the Type of restriction to use setting.
Select the appropriate option and save your changes.
The following options are available.
Restrictions with both: users can choose between using segments and rates, or rate groups, when creating restrictions.
Restrictions only with rates/segments: users can only use segments and rates to create restrictions.
Restrictions only with rate groups: users can only use rate groups to create restrictions.
Restrictions behavior
The option selected for Type of restriction to use determines what is displayed in the Strategy > Restrictions section.
Restrictions with both
When this option is selected, both the market segment and rate code fields, and the Rates group field, are available when creating restrictions.
Restrictions only with rates/segments
When this option is selected, only the market segment and rate code fields are shown. The Rates group field is not available.
Restrictions only with rate groups
When this option is selected, only the Rates group field is shown. The market segment and rate code fields are not available.
System task: Add GR_UNKNOWN
The Add GR_UNKNOWN system task creates the GR_UNKNOWN rate group for any property where it does not already exist. It can be run across all properties or for a specific property.
Follow the steps below to run the Add GR_UNKNOWN task.
Navigate to the system tasks area and locate the Add GR_UNKNOWN rate group task.
In the Hotel field, select the properties to apply the task to. Use Select all to apply to all properties, or select individual properties from the list.
Click Submit.
